How to Organize a Successful Company Headshot Day
If you've ever tried coordinating headshots for an entire team, you already know it isn't as simple as putting names on a calendar. Between busy schedules, meetings, travel, and everyone's different comfort level in front of the camera, organizing a Headshot Day can quickly start to feel like a game of Tetris.
In a previous blog post, I talked about why being both a Nashville event photographer and a Nashville headshot photographer is such an advantage for my clients. When I'm already onsite photographing your conference, meeting, or corporate event, we can often schedule professional headshots at the same time-saving everyone time while making the most of your photography investment.
After that post, several people asked the same question:
"What's the best way to organize a company Headshot Day?"
The good news is that with a little planning, the process can be surprisingly smooth. Here are a few tips I've learned from photographing teams of every size.
Start with a Schedule
The biggest challenge isn't usually the photography-it’s coordinating everyone's time.
Creating a schedule in advance keeps the day running efficiently and minimizes disruptions to your team's workflow.
When my team arrives at your office, we'll plan to be onsite approximately 45 minutes before the first appointment. This gives us plenty of time to select the best location, set up our mobile studio, test lighting, and make sure everything is ready before the first employee arrives.
Once we're set up, the day moves quickly.
How Much Time Should You Plan?
As a general rule, allow 8–10 minutes per person. Some employees are finished in just a few minutes, while others appreciate a little extra coaching to help them feel comfortable and confident.
Here are some general planning guidelines:
Up to 10 people: Approximately 80-90 minutes
10–35 people: Half-day session (3-4 hours)
35+ people: Full-day session or multiple days
Every company is different, so we're happy to help determine the best schedule for your team.
Help Your Team Feel Prepared
One of the easiest ways to make Headshot Day successful is to prepare your employees ahead of time.
Here are a few simple steps that make a big difference:
Send Calendar Invitations
Don’t rely on a company-wide announcement, send each employee a calendar invitation with their scheduled appointment time. It helps reduce confusion and keeps the day running on schedule.
Share a Headshot Preparation Guide
Many people don't know what to wear or how to prepare for professional headshots.
To make it easy, I provide every client with a Headshot Preparation Guide covering topics like:
What colors photograph best
Wardrobe recommendations
Jewelry and accessories
Hair and makeup tips
When to schedule a haircut
What to expect during the session
Employees arrive feeling much more confident when they know exactly how to prepare.
Reassure Your Team
Let's be honest-most people don't love having their picture taken.
Even professional photographers-like me!- can feel awkward in front of the camera.
The good news is that posing and directing people is part of my job. My goal is to make every employee feel comfortable, relaxed, and confident. I coach everyone with simple posing adjustments and natural expressions so they leave saying, "That was much easier than I expected."
When people know they're in experienced hands, the entire experience becomes much more enjoyable.
Make Headshots Part of Your Brand Strategy
A company Headshot Day shouldn't be a one-time event.
Businesses evolve. Employees join your team, others move on, and roles change. Before you know it, five years have passed and your website no longer reflects the people who actually work there.
Professional headshots help create a consistent, polished brand while building trust with prospective clients. When visitors see current, professional photos of your leadership and staff, it reinforces that your business is established, approachable, and invested in presenting itself professionally.
Scheduling regular Headshot Days-whether annually or every couple of years-helps keep your website, marketing materials, LinkedIn profiles, and internal communications fresh and up to date.
